Parents' Meeting - notes and links

Notes for parents giving details of lots of aspects for the players and parent volunteers. Please review and ask question/provide feedback.

Parent Meeting notes:
Below are the notes for the parent meeting. Sorry they are so long but please try to at least skim over all of them – its all stuff we have to care about. I will also post them on the web site for future reference.

Volunteer Roles - As mentioned, we are after on-ice assistant coaches (please speak to Mike), time keepers, a book keeper, photographer, tournament coordinator, social/event planner. If you are able to help and meet your volunteer commitment, please let me know.
Team Name – Through a vote by the players, and a tiebreaker by parents we are now the Ottawa East Atom C1 Predators, or The Predators for short. The logo can be found here for those of you looking to get a tattoo.
Calendar – All games, practices and events will be published via the OEMHA website and calendar. Please ensure you keep up to date here. You can also subscribe to the calendar via iCal. I will try to send out a reminder email each week but please watch the calendar.
Trainers – We must have a certified trainer for each game, and ideally practices. We have four trainers on the team; please provide training certification details. We now have a First Aid kit to be brought to each game. Trainers must have helmets for going on ice.
Respect in Sport – All on ice help and staff must have Respect In Sport training. If you want to help out and have not completed this in the last 3 years please start the process through the online course here. HEO no longer offers in-class sessions. Once passed, I will need copies of your certificate.  I also need parents’ date of birth to enter this certification into the registration system.
Police Check – All parents working with kids and their personal information must have a current Police Records Check for Vulnerable Sector through the Ottawa Police Service. The OEMHA provides the cover letter so that you will not have to pay for the check. Once submitted please scan/photo the receipt and send to me and policecheck@oemha.ca. When the completed check is received you should also be copied and sent to the above address and I should be informed (I don’t need a copy).
Medical Forms – Every player needs to submit a Medical Form to be held by the manager/trainer for use in a medical emergency. If you have not provided the completed form, please do so before the game on Saturday. A copy of the form can be found here.
Personal Info – All information about players and families should be regarded as confidential and we should all do our best to respect other’s personal details.
Financial Management – We will be setting up a bank account, a budget and accounting process. Do we have a volunteer for Treasurer/Book Keeper? All expenses will need to be preapproved and supported by receipts.
Team Fees – To cover costs that are specific to the team, such as tournaments, equipment, education, etc we will be charging a team fee for each player. The initial requirement will be $200. This will be due by cheque to “Ottawa East Atom C1 Hockey”. There may be a refund or small extra charge depending on the events and supplies we need.
Sponsors – Team fees can be offset by finding sponsors. Do you know any company that can help our team? We are open to any opportunity; Can you help find a sponsor? Please discuss with me if you have any ideas, we can look at some type of visibility or recognition.
Social – As well as on-ice team work, we will have team building and social events. Hopefully someone will be arranging a Christmas/Holiday event? If anyone else would like to help out or take on another event please let me know.
Team Photo Day – the association arranges an annual team/player photo day which will be on Sunday late October (dates to be announced).  Each player is photographed in an action pose and there is team photo taken. It is really important that everyone tries to be there. You will be able to buy copies of the photos, and also team ware, all optional.
Gear – It is a tightly enforced regulation that all players ware complete kit when on ice and on the bench; this includes mouth guards and neck guards. We have socks provided by the McDonalds sponsorship. If you want OEHMA socks (red/white/black) they are $14 and need to be picked up at the Sandy Hill Arena Canteen.
Jerseys – As Atom we will have black jerseys provided by McDonalds, these will be kept by players as a souvenir at the end of the year. There are various sizes which we try to assign so that players get the maximum use from the jersey. We will be using Ottawa East white jerseys, which I hope to sort out in the coming days for a better fit. White team jerseys need to be cared for and should not be used for practices or external hockey events – you risk being charged.
Namebars - Each player should have name bars showing their last name that will need to be stitched above the number. You will need one white on black and one black on white – if you do not have them I have got them from Lighting Blade before (were $12/set).
Water bottles – please ensure your player has a personal water bottle, filled, for each practice and game. Coaches can’t help everyone with visors, so to avoid delays it is suggested that bottles have a long spout to reach through the visor. Clear player names on the bottle please!
Spare Gear – if you have spare gear that can be kept in your bag or car it may help when some forgets something, please ask/answer if someone is missing something. Players cannot go on ice without all gear on.
 
Coach’s notes
Assistant Coaches – It is key to player development that we give maximum focussed and individual attention to each team member. To do this we can use all the on-ice help we can get. Whatever your skill, Mike can use you to show, guide and encourage on ice.
Goalies – We will rotate goalies to give all those that want to try, a chance. The team has rented goalie gear and the general plan would be to quickly narrow down to a few rotating goalies who would suit up for the practice before a game and then take the equipment home to bring to the game.
Ice time – It is both the team’s strategy and hockey regulations that all the Atom players get equal ice time. During games the pool of players will rotate through their positions as evenly as possible.
Player Behavior and Attention – Everyone will get more from the season when the players all focus together on the games, drill or skills. The best way to achieve this is to have the boys constantly skating and working. In the unlikely event that behaviour on ice or on the bench is a problem then a player may be given a time out. Repeat offences will be discussed between coach and parents.
Tournaments – we will look to enter two or three tournaments. One in January and two towards the end of the season (March). These will be paid for out of our team fees; the amount of games will depend on how well we do. The tournaments we enter will be weekends and local so no travel is expected.
 
Dressing Room Rules
Arrival time – please arrive in plenty of time, particularly for games. We can generally get in dressing rooms 40 minutes before a game.
Coach pre-game time – So that we can prep the players, they should be fully dressed and ready at least 10 minutes before game time. Parents will be asked to leave the room so that Coach/bench staff can talk to the players.
Coach post-game time – Directly after the game, please allow 5 minutes for Mike to congratulate and debrief the team. Win or lose, there will always positive messages and observations.
Photos – There cannot be any photos taken in the dressing room. Please ensure all camera and phones are put away. We may have a scheduled team photo if required with appropriate notice.
Bathrooms – the dressing room bathrooms are for use of the players only – parents, coaches and visitors should use other arena bathrooms.
Video Games – To maintain focus and discipline we do not allow video games, toys, trading cards in the dressing rooms before games or practices.
Overall, remember that we are all here to help the kids have fun and to hopefully have them learn team work and build hockey skills.
